Law Firm Network Overhaul and UCaaS Migration
The Challenge
A growing law firm with 16 office locations was dealing with a patchwork of IT problems that had compounded over years of reactive decision-making. Their on-premises PBX system was aging and unreliable. Each location had a single ISP circuit with no redundancy, meaning one outage could take an entire office offline. Internet performance was inconsistent across locations, and attorneys were increasingly frustrated with dropped calls and slow cloud application performance.
To make matters worse, the firm was locked into an ISP contract that was not delivering the service levels they were paying for. They had been billed over $30,000 for services that were never properly provisioned, and the ISP was refusing to credit the charges.
Key pain points included:
- No network redundancy at any of the 16 locations, creating single points of failure
- Legacy on-premises PBX that could not support remote work or modern collaboration features
- Inconsistent ISP performance with different providers and service levels at each site
- A $30K disputed ISP bill for services that were never correctly delivered
- No centralized network management making troubleshooting slow and reactive
- Attorneys using personal cell phones for client calls due to unreliable office systems
Our Approach
We took a holistic approach, re-architecting the firm’s entire network and communications infrastructure from the ground up. This was not a simple phone system swap. It was a complete transformation of how 16 locations connect, communicate, and stay protected.
Phase 1: Assessment and ISP Negotiation (Weeks 1-4)
We audited every circuit, contract, and invoice across all 16 locations. During the audit, we identified that the incumbent ISP had failed to properly provision services at multiple sites, yet continued billing for them. We built a detailed case documenting the ISP’s negligence, including service records, ticket histories, and performance data.
Using this evidence, we negotiated directly with the ISP to eliminate the $30,000 in disputed charges and secured an early contract termination without penalty. This alone saved the firm tens of thousands before the new solution was even deployed.
Phase 2: Network Re-Architecture and SD-WAN (Weeks 4-10)
We designed a new network architecture for all 16 locations built on true SD-WAN with active-active bonded circuits. Each site received a primary and secondary ISP connection bonded together, providing both performance aggregation and automatic failover. If one circuit degrades or fails, traffic seamlessly shifts to the other with no interruption.
The SD-WAN overlay provided centralized policy management, application-aware routing, and real-time visibility into performance across every location. We consolidated ISP relationships, replacing the patchwork of providers with a standardized dual-circuit design at every site.
Phase 3: UCaaS Migration and Go-Live (Weeks 8-14)
With the network foundation in place, we migrated the firm from their legacy on-premises PBX to a cloud-based UCaaS platform. The new system provided voice, video, messaging, and presence in a single application accessible from any device. Call flows were customized for each practice group, and compliance recording was configured to meet the firm’s regulatory requirements.
We rolled out location by location, starting with a 2-site pilot to validate call quality over the new SD-WAN network before expanding to all 16 offices.
Results
The transformation delivered dramatic improvements in cost, reliability, and user experience:
- 42% annual cost savings across all telecom and network services compared to the previous setup
- 99.999% network uptime achieved through active-active bonded SD-WAN with automatic failover
- $30K ISP penalty eliminated through documented evidence of ISP negligence and direct negotiation
- Early contract termination secured without penalty, freeing the firm from an underperforming provider
- 16 locations on a unified network with centralized management and real-time performance monitoring
- Full UCaaS deployment replacing legacy PBX with cloud voice, video, messaging, and mobile apps
- Zero dropped calls reported in the first 6 months on the new platform
Client Feedback
“Catch Advisors did not just upgrade our phone system. They re-architected our entire network across all 16 offices, fought our ISP on our behalf, and delivered a solution that is faster, cheaper, and more reliable than anything we have ever had. The 42% savings was the headline, but the real win is that our attorneys can actually rely on the technology now.”
